Everything at a glance – for a relaxed trip

Clear, transparent and fair.

To ensure that everything runs smoothly and there are no misunderstandings, we have compiled the rules regarding your booking at Wynfrid House here.

1. Conclusion of contract

1. Your booking becomes binding as soon as you receive a written confirmation from us by email.

2. The contracting parties are you and Wynfrid House. If you are booking for other people, they are jointly liable with you for the contractual obligations. Please ensure that your fellow travelers receive all important information.

3. Subletting or commercial use of the booked rooms is not permitted.

2. Services, prices and payment

1. Wynfrid House will provide you with your booked rooms and services for the agreed period.

2. The following applies to all bookings of single rooms, double rooms, family rooms, ensuite rooms and apartments:
The entire booking price is due immediately upon booking and will be processed via a secure payment service provider (Stripe or PayPal).

3. For bookings of a dormitory (“Dormitory”) as well as for group bookings of 10 people or more, payment by bank transfer is agreed.

In this case, the full amount must be credited to our account no later than 14 days (3 weeks) before the day of arrival.

If payment is not received on time, we are entitled to cancel the booking and reallocate the room; the cancellation conditions according to point 3 apply.

4. Prices include the applicable taxes and local charges, unless otherwise stated.

5. Subsequently published special prices or discount promotions do not justify a claim for a reduction in already confirmed bookings.

6. Any bank charges, exchange rate differences or costs from international transfers/paid card fees are at your expense. Billing is in GBP; your payment provider will carry out conversions.

7. A chargeback by card providers or payment services does not replace a cancellation. In the case of legally concluded bookings, we reserve the right to re-invoice costs incurred as a result of chargebacks (e.g. processing fees from the payment service) as well as the accommodation price due.

8. There is no statutory right of withdrawal for bookings with a fixed travel period. Our cancellation conditions according to point 3 apply.

3. Withdrawal, cancellation (“No Show”)

1. Reductions in the number of people by less than 10% of the total group are free of charge.

2. Cancellations must be made in writing; the easiest way to do this is with your PIN from the booking confirmation via our booking system, a notification by email is also sufficient.

a. For individual travelers (up to 9 people)

1. Free cancellation is possible up to 21 days before arrival.

2. For cancellations between 20 and 7 days before arrival, 30% of the total price will be charged.

3. For cancellations between 7 and 2 days before arrival, 50% of the total price will be charged.

4. For cancellations within 24 hours before arrival or in the event of a no-show, 100% of the total price will be charged.

b. For groups (from 10 people)

1. Free cancellation up to 60 days before arrival.

2. If canceled between 59 and 28 days before arrival, 20% of the total price will be charged.

3. If canceled between 27 and 14 days before arrival, 50% of the total price will be charged.

4. In the event of cancellation within 13 days before arrival or in the event of a no-show, we must charge 100% of the total price.

Refunds

5. Refunds are always made using the same payment method that you used when booking.

6. In the event of free cancellations, the full amount will be refunded.

7. In the event of cancellations subject to a fee, we will refund the amount already paid less the cancellation fees set out in section 3 (e.g. 20%, 30%, 50% or 100% of the booking price, depending on the time of cancellation).

8. Please note: Payment service providers such as Stripe, PayPal or credit card providers do not refund their own transaction fees. We are therefore unable to credit these for refunds.

4. Withdrawal by Wynfrid House

1. Wynfrid House is entitled to withdraw from the contract if an agreed advance payment has not been made on time.

2. A withdrawal is also possible if:

a) Force majeure or other unforeseeable events make it impossible to provide the rooms.

b) The booking was made with false information.

c) The stay serves an illegal purpose.

3. In these cases, there is no entitlement to compensation.

4. Right of Refusal: We must reserve the right to exclude guests from staying if they violate our house rules, significantly disturb other guests, willfully cause damage or display illegal behavior.

In these cases, there is no entitlement to a refund of amounts already paid.

5. Arrival and departure, further provisions

1. Groups of 10 or more people with multi-bed rooms will be assigned the room layout by us.

2. Check-in is possible from 3:00 p.m., the latest arrival should be by 9:00 p.m. You can book late check-ins for a fee.

3. Check-out should please take place by 9:15 a.m. at the latest. You are welcome to store your luggage with us free of charge until 10:00 p.m.

4. Night's rest: From 10:00 p.m. we ask for mutual consideration. Conversations and activities should take place in such a way that they do not disturb other guests.

5. Forgotten or left items will be kept for up to 30 days. After that, we reserve the right to dispose of them or donate them to charitable purposes. If you would like your things to be returned, we will be happy to do so – however, the shipping costs are at your expense.

6. Liability

1. You are liable for damage to our facility caused by negligence or intent. If the perpetrator cannot be identified in a group, the entire group is liable.

2. Wynfrid House may require a deposit of up to GBP 500 per booking. This will be fully refunded upon proper return of the room.

3. Smoking is only permitted in the designated areas. If you still smoke in the room, we will have to charge a cleaning fee of GBP 100.

4. If costs are incurred as a result of the unauthorized opening of emergency exits or the manipulation of smoke detectors, these must be borne by the person responsible.

5. Our liability is limited to intent and gross negligence. We are not liable for indirect or consequential damages, such as additional travel costs, rebooking fees or lost profits. The statutory liability for damage to life, body or health remains unaffected.

6. We are only liable for valuables up to a value of GBP 1,000 for cash or GBP 3,500 for other valuables. If you want to keep something of higher value safe, please contact us.

7. Final provisions

1. Changes or additions to the contract must be made in writing.

2. Place of performance and payment is London.

3. The place of jurisdiction for all disputes is London. The law of the United Kingdom applies.

4. Should a clause in these terms and conditions be ineffective, the validity of the remaining provisions remains unaffected.
